Meetings: Teams, Meet and transcripts
Sync meetings with Google Calendar and Outlook/Teams, generate video call links and get the transcript: imported from Teams/Meet (when the license allows) or generated from a recording.
CRM meetings (activities of type "meeting") integrate with Google Calendar and the Outlook calendar (Microsoft 365). You can push the meeting to the calendar, import calendar events as meetings, generate the video call link (Google Meet, Microsoft Teams or Zoom) and, the focus of this article, get the meeting TRANSCRIPT.
Prerequisite: connect your account
In Settings · Integrations, configure the "Google Workspace" or "Microsoft 365" card (your organization's OAuth app) and connect your account. The same card enables email, calendar, contacts and transcripts. Older connections need "Reconnect" to grant the new transcript access.
- Microsoft: in the Azure app, add the delegated permissions Calendars.ReadWrite, OnlineMeetings.Read and OnlineMeetingTranscript.Read.All (the latter usually requires admin consent).
- Google: in the Google Cloud project, enable the Google Calendar API and the Google Meet REST API, plus the Meet transcript read scope.
Push and import meetings (2 ways)
On a meeting with a date and time, the calendar button pushes the event to your Google Calendar or Outlook (and updates the same event next time, without duplicating). The integration card also offers "Import events": recent events become meetings in the CRM, already carrying the Meet or Teams link when the event has a video call.
Generate the video call link
In the activity list, a meeting with a date and no link shows buttons to generate one: Google Meet (Google account connected), Microsoft Teams (Microsoft account connected) or Zoom (Zoom credentials configured in the hub). The link is saved on the meeting to join and copy.
Transcript imported from Teams or Meet (native)
If the meeting has a Teams or Meet link and the platform GENERATED the transcript, the CRM imports the ready text: open the meeting transcript panel (microphone icon) and use "Fetch Teams transcript" or "Fetch Meet transcript".
Set expectations honestly: the native transcript depends on the platform, not on the CRM.
- Microsoft Teams: requires a Microsoft 365 license with Teams, transcription enabled in the tenant policy and the meeting actually transcribed (someone turned transcription on during the meeting). The OnlineMeetingTranscript.Read.All permission may require admin approval.
- Google Meet: requires a Google Workspace edition with Meet transcripts (available in Business/Enterprise plans) and transcription turned on in the meeting.
- In both cases the lookup runs with YOUR connected account: you must be the organizer or have access to the meeting.
Transcribe a recording (works without a special license)
The universal path: record the meeting (in any tool), attach the audio file to the record (or have the recording's public URL) and use "Transcribe" in the transcript panel. The CRM uses the speech to text provider configured in Settings · Integrations ("Transcription" card): your own account (Whisper, Deepgram, AssemblyAI or a generic endpoint) or the system key, metered at cost plus margin.
- Enable the "Transcription" integration in Settings · Integrations (provider + key, or the system key when available).
- On the meeting, open the transcript panel (microphone icon).
- Pick an audio attachment from the record or paste the recording URL and click "Transcribe".
After the transcript
The text is saved on the meeting itself (without touching your notes) with the source shown (Teams, Meet or recording). You can expand, copy and, with AI enabled, generate a summary in one click.
How to test
- Create a meeting with a date and time and generate a Meet or Teams link.
- Hold the meeting with transcription turned on in the platform, then use "Fetch transcript".
- No transcription license? Attach a short audio file to the record and use "Transcribe" to validate the recording path.
