Resource and capacity planning

The Resources tab inside Projects brings together the people directory, the allocation planner and the planned capacity view that highlights who is overallocated. It is the same trio Monday offers: directory, planner and capacity management.

Open Projects and click Resources. The screen has four tabs: Directory, Planner, Capacity and Actual load. Planning is based on weekly hours and allocations, independent of the timesheet.

Directory

Lists everyone in the tenant. For each person you set the weekly capacity in hours (40 by default), the department and the skills. Skills are a comma-separated list, handy for finding who knows what when staffing a team.

Planner

  1. Pick a person, or leave it empty and enter a role to create a placeholder to fill in later.
  2. Optionally link the allocation to a project and set the load in hours per week or as a percent of capacity.
  3. Enter the date range and click Create. The allocation shows in the list and can be removed anytime.

Capacity

Pick a period and see, per person, the effective capacity (weekly capacity minus vacation and leave), the total allocated and the utilization. Anyone above 100% is highlighted as overallocated, a signal to rebalance the work.

💡 The Actual load tab shows the hours actually logged in the timesheet for the period, next to the plan. Comparing the two helps you calibrate allocation estimates over time.
