Publish your weekly availability windows and share a public link. The client picks a time that is genuinely open and the meeting lands on your calendar in the right time zone, with no back and forth. There is also a simpler meeting request link, for people who prefer not to publish their hours.
The scheduling link takes the email ping-pong out of booking a conversation. You share a public address, the person picks a time and the meeting is created straight on your calendar, with the contact recorded in the CRM. There are two modes, and you use whichever fits how you work.
- Availability scheduling: you publish the windows when you accept meetings and the visitor only sees times that are genuinely open. This is the recommended mode.
- Meeting request: the visitor proposes a date, time and subject on a simple form, and you confirm afterward. Useful when your calendar shifts a lot or you would rather not publish your hours.
Setting up your availability
- Open Settings, Availability scheduling.
- Confirm the Time zone, which already comes filled in with yours. Every time offered uses that zone.
- Set the Slot length, for example 30 minutes, the Buffer between meetings, the Minimum notice, for example 4 hours, and the Booking window, meaning how many days ahead a client can book.
- Under Weekly availability, add one or more ranges per day, for example Monday from 09:00 to 12:00 and from 14:00 to 17:00. Days with no range are unavailable.
- Optional: under Available only during these date ranges, add date windows with From and To to offer times only inside them. Leave it empty for no date restriction, and leave the To blank for an open-ended window.
- Check Scheduling link active and click Save.
The slot length can run from 5 minutes to 8 hours, the buffer up to 4 hours, the minimum notice up to 30 days and the booking window up to 365 days. You can register up to 20 date ranges. If you have calendar accounts connected, choose which one should receive the meetings booked through the link.
Sharing the link
Once you save, your public link appears on the screen. Use Copy link to send it by email, put it in your signature or on your website. You can append a language parameter to the address to open the page in another language, and give the link a title, translated into the languages the system supports.
What the client sees
The client opens the link, picks a day and an open time, enters their name, email and an optional subject, and confirms. On confirmation the system re-checks that the time is still free: if someone just took it, the client is told to pick another. That is what keeps two meetings from landing in the same slot on your calendar.
What happens in your account
- An activity of type Meeting is created, assigned to you, at the time chosen.
- If the client's email does not exist in the CRM yet, a new Lead is created automatically.
- Times already taken by your other meetings do not show up for the client, and the configured buffer is respected as well.
- The meeting shows up in your Activities and on the record's Timeline.
The simple meeting request link
Under Account you will find your personal public scheduling link. Whoever opens it sees your name and a form to request a meeting with a name, email, date, time and subject. On submit, a meeting activity is created and assigned to you, with the contact's details, and two confirmation emails go out immediately: one to the person who booked, with a calendar invite, and one to you, each in the recipient's own language. The link is signed and personal, and it exposes neither a login nor CRM data.
Received bookings and common questions
On the same settings screen, further down, sits the Received bookings list: every reservation made through your link, with the date and time, the name and email of the person who booked and the note they left. That way you keep track of who booked without opening your calendar.
- My link shows no times at all: check that Scheduling link active is on, that there are ranges in the weekly availability and that the date window has not ended.
- Can I cancel a booked meeting? Open the activity that was created and change or delete it like any other activity on your calendar.
- Do I need a connected calendar? No. Without a connection, the meeting still lands as an activity in the CRM.
