Team board · team tasks in columns
The Team board is a simple standard object for organizing tasks in columns: To do, Doing, In review and Done. It fits internal rituals that are neither sales nor tickets, such as meeting agendas and team to-do lists. For projects with several people, deadlines and dependencies, the right place is the Projects module.
Not every task belongs in the sales pipeline or the ticket queue. A weekly meeting agenda, an operations team to-do list, a data cleanup push: things that need columns and nothing more. The Team board is that minimal place, and because it is a standard CRM object it inherits everything the other records have: filters, views, tags, global search and the Trash.
What each card holds
- Task: what needs to be done. It is the card title.
- Column: To do, Doing, In review or Done. It starts in To do.
- Priority: Low, Medium or High. It starts at Medium.
- Owner: who is on it. Here this is a free text field, not a picker of system users.
- Due date: the deadline.
- Notes: details, checklists, links.
How to open it
The Team board has no item of its own in the side menu. It was taken out on purpose, so there are not two different places to work in a board: the Projects module is the full experience. The object is still live and still has all its data. To get to it, use global search with ⌘K (Ctrl+K on Windows and Linux) and type the name of a card, or go to the address /o/workspace_task.
- Open the Team board. Since its default view is the Board, the list opens straight into the kanban.
- Click New to create a card: enter the Task and save.
- Drag the card between columns to change the Column, or open the card and change the field.
- Use Table, at the top of the list, when you want to see everything in rows, sort and filter.
When to use Projects instead of this board
If you need custom columns, subtasks, several boards per area, owners who are real users, dependencies between items or a portfolio view, open Projects in the menu. The Team board is deliberately simple and has none of that.
Permissions and limits
- Viewing and editing follow your role's rules for this object, as with any other record.
- Administrators can rename the columns, add options and create new fields in Settings, in the object editor.
- Deleting a card sends it to the Trash, where it stays for thirty days and can be restored.
- The cards are shared across the organization: this is not a personal list.
Common questions
- Why can I not find it in the menu? Because it was taken out of the menu so it would not duplicate Projects. Use global search or the direct address.
- Can I assign a card to a colleague and have them notified? Not through this field, which is free text. For real assignment, use an Activity on the record or a board item in Projects.
- Can I change the columns? Yes, an administrator edits the options on the Column field in Settings. Renaming an option does not lose the cards already in it.
