Tours, itineraries and tickets · manifest, waivers and QR codes
The Departures tab runs tour departures: a manifest with an operating verdict, per passenger check-in and cancellation with a reason. Published waivers are immutable and block boarding for anyone who has not signed. The Itineraries tab builds multi-day packages with suppliers and an honest margin, and the Tickets tab issues passes with a QR code that can be validated without internet.
Departures: the manifest decides the day
Every tour has departures with a date and time, a capacity and, where it makes sense, a passenger minimum. The Departures tab lists them; click the date and time to open the Manifest: who is on board, how many seats each party takes and the operating verdict. The verdict comes in three forms: Runs, Below minimum (with the number of passengers still missing) and No passengers, alongside the count of seats left. Every passenger on the manifest has a Check in button that records attendance. Cancelling a departure requires filling in the Cancellation reason: a departure cancelled without an explanation turns into a complaint, and the reason stays on file next to everyone who was left behind. Creating departures, selling seats and rostering the guide are done through the system API, which also checks the guide's calendar so the same person is never assigned to two departures at once.
Waivers: once published, immutable
Risk activities call for a signed waiver. The waiver is written as a draft and then published; a published waiver is never edited. If you republish it with new wording, the signatures given to the earlier text stop counting, because a signature belongs to the words that were signed. A waiver can require a legal guardian for minors and can have a validity in days. Before boarding, the system checks that every passenger has a valid signature on the required waiver and blocks anyone who does not. Whether the wording holds up legally in your jurisdiction is a decision for your legal team: what the software guarantees is versioning, freezing, boarding enforcement and invalidation on republication. The signature records the name, the contact and, where applicable, the guardian.
Multi-day itineraries
The Itineraries tab builds multi-day packages: each itinerary has a title, a start date, a number of days, a passenger count and a currency. Click the title and the summary shows the day-by-day plan (lodging, tour, transfer, meal, ticket) plus the Cost, Price and Margin totals in the package currency. Each item can point to a registered supplier and carry its cost, price and confirmation reference. The summary is honest about two things the screen never hides: items in another currency are listed separately and are left out of the package total, because adding different currencies would manufacture a false number; and items sold without supplier confirmation are counted in a warning, because an itinerary sold without a confirmed supplier is risk, not revenue.
Tickets: the QR code appears once
- Open the Tickets tab and choose the property and the event.
- Fill in the Holder and the number of Admissions on the pass (one pass can be good for several admissions).
- Click Issue ticket.
- The Ticket code appears on screen, once. Copy or print it now: it is not shown again, because the code is the ticket.
- The list below shows each ticket with the admissions used against the cap (2 / 5, for example) and a Revoke button to void a pass.
Validation at the gate belongs to the scanner, and it works without internet: the QR code is signed and the device checks the signature locally. When the scanner is back online, the scans are synchronized without counting twice, even if the same record arrives in duplicate. Bulk issuing comes from the event registration flow; the form on this tab is for one-off issuing at the front desk.
