Activities and tasks
Organize tasks, calls, meetings and follow-ups; track what is due today and what is overdue.
Use Activities to record and track what needs to be done: tasks, calls, meetings, emails and notes. It is your productivity dashboard.
Create an activity
- Open Activities in the menu (or the "Activities and history" section inside a record).
- Choose the type, write the subject and, if you want, set a due date (date and time).
- Click Add.
Recurring activities
When creating an activity with a due date, choose in "Repeat" whether it is daily, weekly or monthly. When you COMPLETE the activity, the system automatically creates the next occurrence, with the due date moved forward. This is great for routines (weekly follow-ups, monthly billing reminders, and so on).
Snooze a task
No time to do it right now? Instead of letting the task go overdue, use Snooze to push the due date forward without losing sight of it.
- In the Activities list, open the Snooze selector on the task you want to push.
- Pick a shortcut: Tomorrow (at 9am), +1 day or +1 week, counted from the current due date.
- Or pick "Pick date & timeā¦" and set the exact date and time in the picker.
Automatic reminders
Every day, the system sends a notification (in the bell) to each owner with a summary of their tasks due that day and those that are overdue, so no one forgets a follow-up. Click the notification to open the filtered list.
Track with the filters
- Open: everything that has not yet been completed.
- Today: due today.
- Overdue: past the due date and shown in red.
- Completed: already done.
Check the box on the left to complete. The numbers next to the filters show how many activities are in each state. On the Dashboard, the activity counters are links that lead straight to the filtered list.
My tasks vs. the team's
Use the "Mine / Team" selector at the top of the list. "Mine" shows only the activities assigned to you (the default, to focus on your own pending items); "Team" shows those of the whole organization. The Dashboard always brings YOUR tasks (today, overdue and open), since it is your home screen.
Activities linked to a customer
Inside a contact or opportunity, the "Activities and history" section shows and creates activities already linked to that record. It is the customer's 360° view.
Team availability
On the Agenda (/calendario), the "Team availability" section finds times when SEVERAL members are free at once: pick the people, the window (from/to) and the duration, and the system shows the common free slots within business hours, treating each person's scheduled activities as busy.
