Administrator guide: first steps

From zero to a team-ready account: set up the organization, currency, users, permission roles, objects/fields and your first automations, in the right order.

This guide is for whoever administers the account (the organization operator), not for the end user. It walks, in the recommended order, through the Settings screens you go through to make the CRM ready for the team to use day to day.

Golden rule: set up the foundation (organization, currency, permissions) BEFORE inviting people. That way nobody lands in a half-built account and every user starts with the right role and views.

1. Organization identity and currency

Start in Settings → Organization: name, time zone, default language and logo. Then set the base currency in Settings → Currency and organization data. It applies to opportunity amounts, price tables and reports. Currency is a structural decision: get it right before loading data.

  1. Fill in the organization data (name, time zone, default language).
  2. Set the base currency and number format.
  3. If you operate with branches, register them in Settings → Units and, if needed, taxes in Settings → Taxes.

2. Permission roles (before users)

In Settings, under Roles and permissions you define what each type of person can see and do (RBAC). Create the roles that reflect your operation (for example Sales rep, Manager, SDR, Read-only) by adjusting permissions per object and per field, and the visibility scope (only their own records, the team records, or all).

💡 Model roles on the team reality, not on the ideal org chart. It is easier to open up permissions later than to discover someone saw what they should not.

3. Users and structure

With roles ready, invite people in Settings → Users, assigning the correct role up front. Then organize the hierarchy in Settings → Teams and Settings → Territories. This feeds the visibility scope, goals and lead distribution.

4. Objects, fields and layouts

The CRM ships with standard objects (Leads, Contacts, Companies, Opportunities, Activities). Adapt them to your operation in Settings → Objects and Settings → Fields (create custom fields, option lists, required fields). Adjust the screen arrangement in Settings → Layouts.

5. Process: pipelines, rules and automations

Define the funnel stages in Settings → Pipelines. Then automate repetitive work in Settings → Automations (actions triggered by events), Settings → Rules (assignment/routing) and Settings → Validations (prevent inconsistent data).

  1. Model the funnel (stages and advance criteria).
  2. Create automations for tasks, notifications and field updates.
  3. Add validations to protect data quality.
