Deployment checklist
A practical, step-by-step list to take the account from configured to the team actually using it, with data import, testing and the switch-over.
This checklist assumes you have already gone through the "Administrator guide: first steps". It focuses on the switch-over: importing the data, validating everything and getting the team using it without surprises.
Phase 1: Foundation (done in the first-steps guide)
- Organization, time zone and base currency set.
- Permission roles created and reviewed.
- Objects, fields and layouts adapted to your process.
- Pipelines, automations and validations in place.
Phase 2: Data
Bring in existing data carefully. Prepare clean spreadsheets (no obvious duplicates), import a small test batch first, check the field mapping and only then import the full volume. Use the Trash as a safety net if something goes wrong.
- Clean and standardize the source spreadsheets (Contacts, Companies, Opportunities).
- Import a small batch and check the field mapping.
- Import the full volume and validate counts and amounts.
- Run a duplicate check and merge whatever is needed.
Phase 3: Validation
Before releasing, log in as a user of each role and confirm each one sees exactly what they should: no more, no less. Trigger a test automation and check the audit trail in Settings → Audit.
- Test the visibility scope with a user of each role.
- Verify automations and validations fire as expected.
- Confirm reports and goals show correct numbers.
Phase 4: Go-live
Invite the rest of the team, run a short training (point them to the Help Center), assign someone to answer questions in the first week and track adoption. Start simple: it is better to launch with the essentials working than to postpone for months chasing the perfect setup.
