Creating and managing records

Create, edit, search and export contacts, companies, leads and opportunities, and use the 360° view.

Each object has its own list in the sidebar menu. The form is built automatically from the object's fields, including the ones you create. Selection fields appear as colored pills in the lists, making them easier to read.

Create a record

  1. In the menu, choose the object (e.g. Contacts).
  2. Click "New". The form uses the full screen, in columns.
  3. Fill in the fields. The "?" next to each one explains what to enter, and those marked with * are required.
  4. Some fields come with a default value (e.g. Website starts with https://).
  5. Click Create. You go straight to the record you just created.

Edit and delete

Click a record in the list to open its details. The data is on the left (edit it and click Save); on the right are the related records and the timeline. To remove it, use Delete: the record goes to the Trash and can be restored for 30 days (see the "Trash" article).

Clearing a field

To leave a field blank, delete what is written in it and click Save. The field really does become empty: the old value does not come back on its own.

  • The system only clears the field that had a value when you opened the screen and that you left empty.
  • A field you did not touch stays exactly as it was.
  • A field that was already empty stays empty and does not count as a change.
  • A required field cannot be left empty: on save, the system asks you to fill it back in.
šŸ’” If the object uses page builder sections, only what was drawn on the screen you saw can be cleared. A field that never appeared to you is never erased. The same rule applies in the mobile app.

Spreadsheet import behaves the other way around, on purpose: there an empty cell means "not provided" and never erases what the record already has, so an incomplete file cannot destroy good data. When you really want to empty a field, do it from the record form.

Table and Board

Each object opens in its default view: Opportunities open in the Board (kanban by stage); Contacts, Companies, Leads and Products open in Table. Use the "Table / Board" selector at the top to switch at any time.

  • The Table columns and the Board card fields are defined per object (including relationships like Company).
  • On the Board, drag a card between columns to change the stage/status; in Products the Board is organized by Category.

Bulk actions

In the Table, check the box on each row (or the header box to select all visible ones). An action bar appears to apply changes to the selected records all at once:

  • Change field: choose a field (e.g. Status, Stage) and the new value, applied to all selected records.
  • Assign owner: set the owner of the records all at once.
  • Delete: sends the selected records to the Trash (asks for confirmation; recoverable for 30 days).
šŸ’” Combine it with filters/views: filter first (e.g. opportunities in one stage), select all and apply the change. Every bulk change is recorded in the Audit trail.

Transform fields in bulk

Unlike "Change field" (which writes the same fixed value to everyone), "Transform" reads each record's current value and transforms it — ideal for standardizing phones, emails, codes and names without a spreadsheet. Select the records in the Table and click "Transform".

  • Pick a text field (e.g. Mobile) and the operation: add prefix/suffix, find and replace, replace by pattern (regex), trim spaces, UPPERCASE, lowercase or capitalize.
  • Use "Apply when" to restrict it (e.g. only if it does not start with "+351"), so you never touch what is already correct.
  • Click "Preview" to see before→after and how many will change / stay the same. Only then click "Apply".
Example: Prefix the country code on your Contacts' Mobile: field Mobile Ā· operation "Add prefix" Ā· prefix "+351" Ā· apply when "does not start with +351". The preview shows "912345678 → +351912345678"; anyone who already has +351 is skipped.
šŸ’” Each write goes through the field's validations and lands in the record history. Records already correct are counted as "unchanged"; any that would break the field validation show as failed and are left untouched.

Use the search field at the top of the list to find records. Search scans several fields at once, not just the name but the object’s other text fields too (and the ones you marked "show in list", such as email and phone). It also ignores accents and letter case ("Joao" finds "JoĆ£o").

Export to Excel/CSV

The "Export CSV" button downloads the current list as a file that opens in Excel or Google Sheets, with correct accents. Handy for external analysis and one-off backups.

šŸ’” Click a column header to sort the list by it. The first click sorts ascending (ā–²), the second descending (ā–¼) and the third returns to the default order. It works together with search and filters.
šŸ’” When you open a record, the "Print" button generates a clean sheet (field: value) in a new window, ready to print or save as PDF (the "Save as PDF" option in the print dialog). Great for attaching to a contract or taking to a meeting.

360° view

On a contact's or opportunity's detail page, you see everything related to that record: the data, the linked records (e.g. the Contact inside an Opportunity, shown in a side panel) and the "Activities and history" section with tasks, calls, meetings and changes.

Example: Open the opportunity "CRM Rollout - Acme": besides the data, you see the main contact in a side panel (with a link to open the full record) and the activity history.
šŸ’” When you link a Contact to an Opportunity, the matching fields (e.g. Company) are filled in automatically with the contact's data.
