Global search · finding records and screens with ⌘K

Global search is the box that opens with ⌘K and does three things at once: it finds records across every object by name or email, it jumps straight to modules and Settings pages, and it sends your sentence to the artificial intelligence assistant. It means never hunting through the menu again, and never switching screens to look up a customer.

A big menu costs time. Global search is the shortcut that cuts through everything: you press two keys, type three letters and land where you need to be, whether that is a customer, the Objects screen under Settings or a question for the assistant.

How to open it

  • Press ⌘K on a Mac, or Ctrl+K on Windows and Linux, from any screen.
  • Or click the Search button at the top of the side menu.
  • On a phone, use the search button in the bottom bar.
  • Esc closes it, and pressing ⌘K again closes it too.

What appears as you type

  • From one letter on: navigation commands, marked with the Go to label. These are modules and Settings pages, up to six at a time, filtered as you type.
  • From two letters on: records from every object, with the record type next to the name. The most recently updated come first, up to twenty results.
  • Always: the Ask AI option, which sends what you wrote to the assistant as a natural language command.

Getting around with the keyboard

  1. Press ⌘K and type the term.
  2. Use the down and up arrows to move through the list; the highlighted item scrolls itself into view.
  3. Press Enter to open the highlighted item.
  4. Press Esc to close without leaving the screen you were on.
Example: The consultant at Ativa Insurance typed jose into the search and found José Nogueira, a contact at Lima Transport, without going through the menu. He then typed obje and the Go to · Settings › Objects line appeared on the first letter of the term. Finally he typed how many opportunities closed this month and picked Ask AI, which opened the assistant with the question already in place.

How the search matches text

  • It looks at two pieces of the record: the name and the email.
  • It matches parts of words: lima finds Lima Transport.
  • It ignores accents: jose finds José, and the other way around.
  • It ignores upper and lower case.
  • It sorts by the most recently updated records.

Permissions and limits

  • Search respects your access: only records from objects your role can read are included, within your role's scope.
  • Records in the Trash do not appear.
  • You need at least two letters for the records section; with a single letter you only get the commands and the option to ask artificial intelligence.
  • The search does not look inside notes, attachments, descriptions or other fields: only name and email.
  • Data from another organization never appears.

Common questions

  • I searched by phone number and found nothing. That is expected: search covers name and email. For a phone number, use the object list filters.
  • I found two records for the same person. That is a duplicate. Open the object list, go to the More menu and use Duplicates to merge the records.
  • A colleague finds a record and I do not. You have different roles: search shows nothing beyond what your role could already see in the list.
