Re-enrollment

The re-enrollment cycle comes from the academic calendar, not from typing: the system builds the queue from active students, flags holds before the window opens, sends the invitation, follows up on silence and records who is not coming back with a reason from a closed list. Part of the Education vertical, optional and off until an administrator turns it on.

The Education screen gains the Re-enrollment block: the cycle built from the calendar, the queue of students with each hold, the invitation, the follow-up and the record of who is not coming back.

What the system never does

The system never cancels an enrollment, never cuts a scholarship and never marks anyone as a dropout. It warns, invites, follows up and closes the window on time. Leaving is a human decision, with a recorded reason.

The cycle comes from the calendar

Nobody types a re-enrollment cycle. In the calendar, each year or term can declare which term it follows, when the window opens and what the deadline is. If the window is not typed, it is computed in business days from the first day of classes, with the lead time the school chooses. With no source term declared, nothing is created: the system does not guess a calendar.

The queue comes from the active enrollments of the source term, one cycle per grade or programme. Running it again duplicates nothing: each student appears once per cycle.

Holds flagged before the window opens

Before the invitation goes out, the system checks three fronts: finance, academics and documents. Holds reach the team with time to fix them. Inviting a family and blocking them afterwards would be mistreatment.

The financial situation is READ from the school financial system, with the reading date. The CRM does not decide who is in debt. If the reading never arrived or is out of date, the answer is unknown: never "up to date" and never "blocked". An integration failure must not stop a family that paid, nor clear one the school would not clear.

💡 Unknown is not an error: it is the system saying it does not know instead of inventing an answer. Students marked unknown are still invited; blocked ones are not.

Invitation and follow-up

The invitation reuses the email sequences the school already uses: there is no second campaign engine to learn. Silence moves a family up the follow-up steps according to the waiting days the school configures. Follow-up alerts the team and never removes anyone from the queue.

Scholarship and early-payment discount

The screen shows whether the scholarship covers the new term or is waiting for renewal. It is information, not action: re-enrollment never cuts, suspends or renews a scholarship. The early-payment discount is not recreated here either: the rule stays in the tuition module and the screen only simulates the amount, without charging anything.

Who is not coming back: a reason from a closed list

When a family says they are not coming back, the reason comes from a list: moved away, cannot afford it, transfer, academic reason, completed the stage, dissatisfaction, schedule, health, family decision or other. Choosing "other" requires a note. Free text never becomes a statistic, and a school that cannot count why it loses students cannot fix it either.

Recording that a family is not coming back does not cancel the current enrollment or take the student out of class. It records the stated intention, with a reason, so the school can act in time.

The cycle numbers

The panel shows counts: how many students in the cycle, how many are eligible, blocked and unknown, how many scholarships cover the new term, how many answered and how many confirmed. There is no projected re-enrollment rate: a forecast percentage without history would be an invented number, and an invented number on a leadership dashboard turns into a wrong decision.
