Scheduled reports by email
Automatically receive, at whatever frequency you choose, a CRM summary or the result of a saved report, straight to the inbox of whoever needs to see it. A saved report arrives with the table in the body of the message and the files attached so they can be opened in a spreadsheet.
A report that only lives inside the system depends on somebody remembering to open it. Scheduled reports flip that around: the number goes to the people. You choose what to send, how often and to whom, and the system handles the rest.
How to create a schedule
- Open Settings and go to the Data and reports group.
- Click Scheduled reports.
- Under Name, write something recognizable in the email's subject line, for example Weekly sales summary.
- Choose the Frequency: Daily, Weekly or Monthly.
- Under Recipients, enter the email addresses separated by commas.
- Under Report, leave CRM summary (default) or pick a saved report.
- Click Create schedule.
The two possible payloads
- CRM summary: a short overview with the number of open opportunities, the total open value and how many tasks are due today or already overdue, plus a link to open the dashboard. Open value is added up per currency and converted to the organization's currency, so multi-currency operations do not produce a mixed-up number.
- Saved report: the report's real result, rendered as a table in the body of the email, with a total row, accompanied by two attachments carrying the same data, one as CSV and one as a spreadsheet, for anyone who wants to keep analyzing.
When the first email arrives
The first delivery happens after a full cycle has elapsed, not the moment you save. A weekly schedule created today fires seven days from now; a monthly one, next month. After each delivery the system reschedules the next one automatically.
Pausing, resuming and deleting
Each schedule in the list has a checkbox that toggles between Active and Paused. While it is paused nothing is sent, and no delivery piles up for later. The Delete button removes the schedule for good. The email's own footer reminds the recipient where to turn the delivery off.
Who can do this
Creating schedules does not require being an administrator: write access to the CRM is enough. In return, each schedule belongs to whoever created it. The list shows only yours, and pausing or deleting applies only to yours too. If a colleague left the company and a delivery keeps arriving, whoever administers access needs to deal with their user account.
Common questions
- How many recipients can I add? Up to twenty addresses per schedule.
- The saved report I picked was deleted: the delivery keeps happening, but with the CRM summary in place of the report, rather than failing silently.
- What language does the email arrive in? The table's labels follow the language of whoever created the schedule.
- The values have no currency symbol: in a saved report the aggregate may be a count or a quantity, so the number goes out without a currency on purpose. The summary's open value, on the other hand, is formatted as money.
- I did not get the email: check that the schedule is Active, that the address is correct and your spam folder. A delivery failure does not interrupt the other schedules and does not cancel the next cycle.
