Tags on records

Tags are free-form colored markers you stick on any record to group things your own way, with no need to create a field. They cover the case where the classification comes from daily work rather than from the data model: VIP, Renewal, Watch, March event. You can then filter the list by tag and apply the same tag to many records at once.

Creating a new field for every angle is expensive: it touches the data model, the permissions, the layout. Often you just want to mark fifty companies as Renewal and come back to them next week. Tags exist for that: they are born while you work, they apply to any object, and they leave a record with one click when they are no longer useful.

Putting a tag on

  1. Open a record. Tags sit right below the title, as colored chips.
  2. Click the + tag field and start typing.
  3. Pick an existing tag from the suggestions, or press Enter to create a new one with the name you typed.
  4. To remove one, click the ✕ inside the chip.

The color is chosen automatically from the name: the same tag always has the same color on every record. Removing a tag from a record does not delete the tag from the organization; it stays available to be suggested elsewhere.

Filtering by tag

On an object's list, tags appear as chips above the table. Click one to see only the records carrying that tag. Click it again, or click Clear, to go back to seeing everything. The list returns to the first page whenever the filter changes.

Tagging many records at once

  1. On an object's list, tick the checkboxes of the records you want.
  2. In the bulk actions bar that appears at the bottom, choose the tag action.
  3. Type the tag name and confirm. It is created if it does not exist yet.
  4. The system works in batches and reports the total when it finishes.

Suggesting with artificial intelligence

When the organization has an artificial intelligence provider configured, a ✨ Suggest with AI button appears next to the field. It reads the record and applies up to five tags at once. If the button is not visible, artificial intelligence is not configured, and in that case tags keep working normally by hand.

Example: Clear View Optical tagged 34 customers with Lens renewal and 12 with Overdue. On the Contacts list, the rep clicked the Lens renewal chip, saw the 34, and bulk-tagged eleven of them with October campaign. The following week, filtering by October campaign returned exactly those eleven.

Permissions and limits

  • Adding and removing a tag requires write access to the record. Read-only users see the chips but cannot change them.
  • Tags are shared across the whole organization: once created, a tag shows up in anyone's suggestions, on any object.
  • A name can be forty characters at most; anything beyond that is cut.
  • The suggestions that appear while you type show up to six tags.
  • The bulk action accepts up to five hundred records per call, and the system splits larger selections into batches.

Common questions

  • How do I delete a tag from the whole organization? The screen removes the tag from the record, not from the catalog. Once you take it off every record, it stops showing up in the list filters.
  • I misspelled it, can I rename it? Not from the record screen. Create the correct tag, apply it to the records and remove the wrong one from each of them.
  • Are a tag and a select field the same thing? No. A select field is part of the data model, with controlled options and history; a tag is free-form, cuts across objects and serves the angles of daily work.
