Trash · restoring deleted records

Deleting a record does not erase it on the spot: it goes to the Trash, disappears from lists and searches, and can come back for thirty days. Each person sees in the Trash what they deleted themselves; administrators see everything, can restore any item and can empty it. After thirty days, the system removes it on its own.

Irreversible deletion is a time bomb in a shared database: one wrong click on a list and a customer's history is gone. That is why deleting here happens in two stages. The first takes the record out of circulation immediately; the second is permanent and only happens after thirty days, or when an administrator decides to bring it forward.

What happens when you delete

  • The record disappears from lists, boards, global search and lookup fields.
  • Nothing is lost: the data, the history and the activities are still stored.
  • The system records who deleted it and when.
  • The thirty-day countdown starts at that moment.

Opening the Trash

On the narrow icon bar at the left of the screen, the trash icon sits at the bottom, alongside Support, Help, Account and Settings. Hover over it to see the name Trash. The screen lists the deleted records with the object type, the title, who deleted it and how many days until the item expires.

Restoring

  1. Find the record in the Trash list.
  2. Click Restore.
  3. The record comes straight back to lists, searches and links, exactly as it was.
💡 The Restore button only appears on items you are allowed to restore: the ones you deleted yourself, or all of them if you administer the organization.

Emptying the trash

Administrators see the Empty trash button at the top of the screen, and it only appears when there is something to remove. The system asks for confirmation, warning that the items will be permanently deleted and cannot be recovered. Once confirmed, everything in the organization's Trash is erased at once, including what other people deleted, and the result tells you how many items were removed.

Example: During a database cleanup, the assistant at Sul Foods deleted 23 contacts from the list by mistake, thinking they were tests. Twenty minutes later he opened the Trash, saw the 23 rows marked Deleted by Rafael Souza and expires in 30 days, and clicked Restore on each one. The contacts came back with their activity history intact. Nobody needed a backup.

Permissions and limits

  • In the Trash you only see the records you deleted yourself. Whoever administers the organization sees them all.
  • Restoring: the person who deleted an item restores their own; an administrator restores any of them.
  • Emptying: only whoever administers the organization.
  • Retention is thirty days and applies across the organization.
  • Every day the system permanently removes whatever is past thirty days, even if nobody empties the trash.
  • Restoring and emptying are recorded in the audit trail.

Common questions

  • Thirty days have passed, can it be recovered? No. After the deadline the record is permanently removed.
  • I deleted something and I do not see it in the Trash. Check whether you were the one who deleted it: each person sees only their own items. Ask an administrator, who sees everything.
  • I merged duplicate records and they are not in the Trash. That is expected: a merge removes the duplicates permanently, without passing through the Trash.
  • Does restoring bring back activities and attachments? Yes. The record comes back whole, exactly as it was at the moment of deletion.
