Usage and spend limit

Track in real time how much your organization has used this month, grouped by category, understand the free $20 limit, add a card to raise the limit, and choose who receives the weekly usage summary by email.

On the Billing page you track, in real time, how much your organization has used in the current month. Amounts are always in US dollars and show price only, meaning what you pay for each usage category. You never have to deal with internal costs or currency conversion.

The usage categories

Usage is grouped into five categories, with an amount per category and a total. The amounts already reflect your plan's pricing.

  • Compute: processing, API requests and email sending.
  • Data transfer: outbound bandwidth, meaning the data that leaves the system.
  • Storage: database and files.
  • Active users: the users active during the month.
  • Artificial intelligence: uses of the assistant and the other AI features.

The first line of the breakdown, Base (shared infrastructure), is the share of platform infrastructure that is not tied to a specific metric, allocated to your organization in proportion to your usage in the previous month. It only appears on the usage-based billing model.

The free $20 limit

Every organization starts with a free limit of $20 per month. As long as the month's usage stays under that cap, you pay nothing: it is genuinely free, not a credit that expires. That amount is the invitation to get started, not a permanent discount: once you add a card and raise the limit, the free allowance ends and usage is billed from the very first cent, up to the limit you set.

  • The usage bar shows how much of the limit has been used this month.
  • At 70% of the limit, we notify administrators by email and with a bell notification.
  • At 90%, we notify again: this is the moment to add a card and raise the limit so nothing stops.
  • At 100%, the system is paused until the next month and we explain how to reactivate right away.

What happens at 100%

If the month's usage hits 100% of the limit, the organization's access is paused and everyone sees a notice that the system is unavailable until next month. Access comes back on its own when the month rolls over and the limit renews. To reactivate immediately, an administrator adds a card and raises the limit above the current usage, either from the notice screen itself or from Billing.

💡 A block does not erase data. Records, attachments, history and settings stay exactly where they were and reappear as soon as the limit is raised with a valid card. Anyone who is not an administrator simply sees guidance to reach out to the account administrator.

To use beyond the free limit

  1. Open Billing, or the notice screen itself if you are blocked, and click Add card.
  2. You are taken to the payment provider's secure portal, which validates the card on the spot, with no charge to validate.
  3. Back in the CRM, the card appears as on file: we show only the brand and the last 4 digits.
  4. With a card on file, use Raise limit and enter the new monthly cap, above $20. Without a card, raising the limit is blocked.
💡 Raising the limit charges your card immediately: leaving the free tier charges the whole new limit, and raising a limit you already pay for charges only the difference. From that point on there is no free allowance anymore.

If you already pay: lowering the limit or removing the card

If you have never raised the limit, nothing here changes for you: the $20 of usage per month stays free, with no card and no deadline. This section applies only to accounts that already raised the limit with a card.

From the moment you raise the limit and register a card, the account becomes a paying one and never returns to the entry allowance. In exchange, the limit becomes free-form: you can lower it to any value whenever you want and, when you raise it again, the $20 floor no longer applies. Whatever the value, it is a paid limit and usage is billed from the very first cent.

Example: A $100 limit with $20 already used, meaning an $80 balance. Lowering it to $50 keeps the balance at $80, and this month you can spend at most $50, leaving the rest for the months ahead.
  • Never raised the limit: still free up to $20 per month, with no change at all.
  • Lowered the limit: the balance already paid stays whole and only the month's cap drops. If the month's usage is already past the new cap, it blocks immediately.
  • Lowered the limit to zero: that is a full stop, with access blocked until you raise the limit again with a valid card.
  • Removed the card: the cap becomes the balance already paid and not yet consumed, which shrinks as you use it. When it runs out, it blocks.

Seats and the free usage credit

If your plan includes a per-seat subscription, it appears as a separate line. Seats are billed apart from usage and do not count toward the free limit: they stay in the total even when your usage is within the cap.

While you are on the free limit and the month's usage stays inside it, that usage is waived and an explicit free usage credit line appears in the breakdown, with a negative amount. That way the total shown is exactly what will be charged. Once you raise the limit, that line stops appearing.

Weekly usage summary by email

  1. Open Settings, Usage.
  2. Use the Send weekly usage email switch to turn the send on or off.
  3. In the member list, click Include or Remove to choose who receives it.

With no customization, the summary goes to every administrator, in each recipient's own language. Once you include or remove someone, the list applies exactly as you defined it. Only administrators, with permission to manage settings, can add a card, change the limit and change the recipients.
