The CRM for the whole school: from first inquiry to re-enrollment, with the family at the center

Education does not sell to a person: it sells to a family, on a calendar that rules, with documents that expire, decisions that must not leak, and data about minors that demands extra care. SellioCRM Education models that entire journey, recruiting, application, review, decision, seats, contract, enrollment, tuition, financial aid, onboarding, student success, attrition risk and re-enrollment, on the same pipeline, ticketing and communication engines the rest of the CRM already uses. You pick your segment’s profile in a wizard and the admissions funnel is born ready.

Why it is different

One person, one record, many roles

Applicant, student and alumnus are the same person, with dated roles instead of three records. The family is a household with typed guardians, each with their own language, channel and consent.

Custody that denies by default

Court-ordered custody restrictions are enforced in the database, not in a screen filter: whatever custody denies never appears in the portal, in an email or on the contract signature. Consent for minors is fail-closed.

Admissions profile in the wizard

Private K-12, international, higher education, graduate and executive, technical, languages, arts and sports, online and EdTech, corporate and multi-campus network: each profile seeds the admissions pipeline for its journey, and reapplying never duplicates.

A number that does not exist never becomes zero

Attrition risk, time to engage, placement rate and conversion per agent say "not measured" when data is missing, with the reason next to it. Nothing is made up to fill a dashboard.

Everything inside

Real product modules, ready on day one. No empty promise: every item below exists and operates today.

Single person, household and custody

The foundation: strong identity, a household with guardians, and the custody wall before any other screen.

  • Single person with strong dedupe on normalized email, phone and ID document
  • Simultaneous, dated roles: applicant, student, guardian, alumnus
  • Household with typed guardians, contact priority, and channel and language per guardian
  • Custody configuration that denies by default, with time-boxed exceptional access
  • Consent as an execution gate, fail-closed for minors
  • Automatic age-of-majority transition, with the age defined per jurisdiction in data
  • Academic term, academic calendar with business-day deadlines, and a catalog of campus, program and class with declared capacity

Recruiting: inquiries, events and feeder schools

The top of the education funnel, with the in-person event treated as what it is: a registration, a check-in and an outcome.

  • Inquiry with dedupe on entry and an education lead profile (program, grade, campus, modality)
  • Declarative, versioned scoring with inputs and weights recorded on every result
  • Open house, campus tour, fair, webinar and trial class with a public registration link and waitlist
  • Check-in by signed QR, no-show in one click, post-event survey and ROI report
  • Feeder schools with real conversion to enrollment, separating declared origin from verified origin
  • Visit routes per territory, within the calendar and the budget
  • Agents and consultants with authorized regions and programs, referral protection and conflicts with a stated reason

Admissions: application, documents, interviews and review

The application at the center, with a versioned form, a checklist per profile and blind review with rubrics.

  • Application per person, program and intake, with counselor, channel and applicant profile
  • Versioned application form: every response stays bound to the version it was submitted under
  • Document checklist per program and profile, with business-day deadlines and completeness recalculated automatically
  • Classified, versioned documents; re-uploading never overwrites; every read of a sensitive document is audited
  • Interview, shadow day and placement test reusing the CRM’s self-scheduling
  • Review with versioned rubrics, lowest-load distribution, a My Reviews queue and a calibration panel
  • Admissions committee with recorded votes

Decision, seats, offers and yield

The decision lives apart from the application, under embargo, because a decision leaked before its date is an incident.

  • Decision with embargo and release on a set date; portals never show decisions
  • Seats per class with declared capacity and overbooking limit
  • Offer with an acceptance deadline and a waitlist ordered by criteria kept in data
  • Yield and melt per class and per term, with a deterministic summary of what was offered, accepted and lost
  • Opportunity in the CRM’s admissions pipeline, with enrolled as won and lost as lost

Contract, enrollment, tuition and financial aid

From acceptance to the student in the academic system, with the money frozen in the contract.

  • Contract generated from the accepted offer, with tuition, fees, discounts and aid frozen under an integrity seal
  • Signed by the right family roles; a guardian under a custody restriction is blocked at signing time
  • A signed contract is immutable in the database; a price change becomes an addendum and termination becomes a linked cancellation
  • Enrollment created from the signature, with health, transportation, meals, authorizations, emergency and insurance forms renewed yearly
  • File-based handoff to the academic system, with a reconciliation queue that shows any divergence
  • Tuition plans in versions with effective dates and explicit rules for how discounts combine
  • Student balance mirrored from the finance system, always with the age of the data on screen
  • Financial aid with a protected family review space, committee and an award kept as a trail of events

Student life: onboarding, success, risk and services

Retention starts after enrollment. Everything the student needs lives in a single queue.

  • Student onboarding: access, orientation, placement and 30 and 90 day milestones counted from the start date
  • Success cases and plans with academic goals, reusing the service policies from the ticket center
  • Advising notes that state who can see them, with the family view respecting custody
  • Engagement signals and an attrition risk score dimension by dimension, with alerts that carry their evidence
  • Interventions with effect measured before and after
  • Student services: transcript copies, class changes, transportation and accessibility as regular tickets with an education category
  • Re-enrollment as its own cycle: queue built from the calendar, issues flagged before the window opens, invitation, escalation and a reason for who does not return

Communication, journeys and portals

There is no "send to the family": each person in the household is resolved individually, in their own language and channel.

  • Omnichannel communication per individual recipient, with consent per person and a message cap per household
  • Ready-made journeys: new inquiry, stalled application, pending document, visit, unanswered offer, enrollment, re-enrollment and risk alert
  • Automatic reminders and alerts: first contact, incomplete application, expiring document, unsigned contract, stalled review queue
  • Applicant portal with passwordless magic-link login: status, checklist, documents and upcoming events
  • Family portal: a summary of every child, contracts, mirrored charges, forms, calendar and open requests
  • Recommendation letters requested from a teacher or mentor by link
  • Consolidated family view and parental engagement

Segments: higher ed, international, EdTech, corporate, alumni and careers

Each profile switches on the block that makes sense, over the same company, person and pipeline records you already have.

  • K-12: parent and student questionnaires and teacher recommendation on the versioned form; siblings and alumni read from existing records
  • Higher education: exam scores with their source, transcript extraction that only suggests, recommendation by link
  • International: passport, visa, translations, language test, housing, insurance and arrival, with requirements per destination jurisdiction
  • EdTech and open courses: rolling intake, trial class, online enrollment, learning progress that never invents a number, certificate and next course
  • Corporate education: the company is the same company record, closed cohort, employee spreadsheet and group progress report
  • Alumni and advancement linked to the person the Nonprofit module already knows, with measured engagement
  • Careers and employability: career profile, partner employer, job opening and placement outcome with an honest cohort report

Governance built in

Industry rules enforced in the engine, not in a slide deck.

Minors’ data under maximum governance

Every column of the vertical has a declared data class, and restricted classes log every read. Custody denies via RLS in the database, consent is fail-closed for minors, and AI only touches a minor’s document with valid consent and PII redaction switched on.

Decisions, contracts and rubrics that are never rewritten

The decision stays embargoed until its release date. A signed contract is rejected by the database itself if anyone tries to change it. Rubrics and score models are versioned: fixing one creates a new version and old grades stay as they were.

Data subject requests, bias and retention as a trail

A data subject request enters with a deadline frozen per jurisdiction, and closing it requires stating what was done. The bias audit is aggregated, applies the four-fifths rule, and cannot be edited or deleted: auditing again creates another row. Retention is declared per data class, and undeclared classes stay visible.

Multi-tenant and switchable without loss

Row-level security on every table of the vertical, per-organization activation and a menu that stays invisible while it is off, even for administrators. Disabling never deletes: your data stays intact.
