Customer invoices: issue, receive payments and chase overdue

Issue invoices to your customers from an accepted quote or manually, record incoming payments and track what is receivable and what is overdue. Each payment updates the invoice balance and status automatically.

Invoices are the documents your company issues to charge its customers. You generate an invoice from an accepted quote (copying its lines and amounts) or build one manually. Then you record payments as they arrive, and the system keeps the balance and status up to date.

Create an invoice

  1. Open Invoices in the Sales menu.
  2. Click Generate from quote to start from an accepted proposal, or Manual invoice to build from scratch.
  3. On a manual invoice, build the lines in the editor: pick a product (optional) or type a free description, with quantity, price and discount. The subtotal, tax and total show live.
  4. You can also click Create from sales order to invoice a confirmed order: the system generates the invoice with the order customer and amount and marks the order as Invoiced.
  5. Click Create. The invoice starts as a draft.

The tax on a manual invoice is computed line by line from your tax rules (the most specific rate by product category and customer region/state), just like a quote. When no rule applies, the tax percentage you enter in the header is used. The total is always the subtotal (already with discounts) plus tax, in the invoice currency.

From won to order to invoice (finance handoff)

When you win an opportunity you can generate its Sales order in one click (on the opportunity, "Generate order"): the system creates a confirmed order with the account and amount, ready for finance to invoice. It is idempotent (one order per opportunity).

Optionally, enable the automatic finance handoff in Settings: when a deal is won, the order is generated automatically and admins are notified that there is an order ready to invoice. It is off by default; issuing the invoice stays a finance action (nothing is charged automatically). Requires the event bus enabled.

Send and receive

  1. Open the invoice and click Send to mark it as sent and, optionally, email it to the customer.
  2. When a payment arrives, click Record payment and enter the amount.
  3. The balance drops and the status changes on its own to Partial or Paid. A payment never exceeds the open total.

If you connected your Stripe under Integrations, you can charge the invoice online. Open the invoice and click Generate payment link: the system creates a secure link for the open balance, in the invoice currency. Copy the link or email the invoice, which then includes a Pay now button for the customer. When the customer pays, the invoice reconciles itself and the status changes to Partial or Paid, with no manual payment entry.

💡 The link uses your own Stripe account (the money goes straight to you) and always charges the balance still owed. If you generate the link more than once, the system reuses the same one, without duplicating the charge. If you have not connected Stripe yet, the button explains where to enable it, and the email goes out normally without the pay button.

Chase overdue (receivable)

  1. Use the Receivable tab to see everything that still has a balance, and the Overdue tab for those past their due date.
  2. On an overdue invoice, click Send reminder to email the customer.

Automatic due-date reminders

Beyond the manual reminder, the system sends automatic reminders on a schedule: 3 days before the due date, on the due date and 7 days after. Only sent, partial or overdue invoices that still have an open balance are reminded, and each step goes out only once (at most one reminder per day per invoice). Each message is sent in the customer's language, with the amount in the invoice currency.

Receivables (aging)

The Receivables tab spreads the open balance across overdue buckets: not yet due, 0 to 30, 31 to 60, 61 to 90 and 90+ days, with the total per currency and a breakdown by customer. It is the quick view of how much is coming in and what is already late.

Download the invoice PDF

Open an invoice and click Download PDF to generate a print-ready, attachable document with your company's brand (the name and color you set in the Portal), the customer details, the line item table, the totals and the balance, all in the invoice currency. When you email the invoice, that same PDF is attached automatically, in the customer's language.

💡 Each invoice gets its own sequential number within your group (for example INV-000006), generated safely even when several are issued at the same time, with no duplicates. Once sent, the invoice lines are immutable. To fix one, void the invoice and issue a new one. A paid invoice cannot be voided.

UF → CLP conversion (Chile)

If you bill in UF (Unidad de Fomento), the CRM can automatically show the equivalent in Chilean pesos (CLP). When you issue or calculate an invoice in UF, it uses the official daily UF value published by the Central Bank of Chile and freezes that value on the invoice: the CLP equivalent is recorded at issuance and does not change afterward, even if the UF moves. It is optional and off by default; an administrator enables it right on the Invoices screen (the button only appears for those who bill in UF).

💡 If today’s UF has not been published yet, the CRM uses the latest available and shows which day it is from, without blocking issuance. The UF value is public national data, fetched once a day for the whole system.
