Product catalog: setup, pricing, margin and recurring revenue

Register products and services with all their commercial data, build price lists by region, segment or channel, see the margin on every deal, and track revenue and churn by product.

The product catalog is the commercial heart of the CRM: every product or service connects to opportunities, proposals, invoicing, stock and recurring revenue.

Complete setup

Beyond name, code (SKU) and price, each product has a barcode, brand, manufacturer, type (physical, digital or service), family, line and visibility (public or internal). Status controls availability: active, inactive, launching, discontinued or end of life.

💡 Inactive, discontinued or end-of-life products cannot be added to new proposals: the CRM blocks it to protect the sale.
💡 You can limit where and to whom each product is sold: fill in the lists of countries, customer types, regions, channels and partners in the product record (an empty list = available to everyone). Products marked as restricted require approval. When you add to a deal a product outside its profile (country, customer type, region, channel or partner), the system warns you, without blocking the sale.

Pricing and price lists

  • Multiple price lists, each with its own currency and quantity tiers.
  • Dimensions by region, country, segment and channel, with a start and end validity date.
  • Clone an entire list and reprice every item at once by a percentage.
  • When building an opportunity, the CRM suggests the right list based on the customer profile (segment/region).
  • On the product you set minimum, maximum, suggested price, markup and target margin to guide the sale.

Margin and profitability

Users with permission see the margin of each line item and of the opportunity total, and on the dashboard the revenue, cost, margin, average price and average discount per product, plus losses by product. Cost is sensitive: users who cannot see cost never receive the number.

💡 You can also analyze by supplier: see the products a supplier provides and the margin of each (selling price compared to the supplier cost), plus the average margin · useful for "which products does Acme supply?" or "which suppliers give the worst margin?". Cost and margin only show for administrators. In the Assistant, the tool is called supplier_products (just ask by the supplier name).
💡 The system also suggests what to buy: products below the reorder point appear with the shortfall, the suggested purchase quantity (respecting the supplier minimum order), the preferred supplier and the estimated cost, from most to least urgent. Cost and estimated cost only show for administrators. In the Assistant, the tool is called reorder_advice (ask "what do I need to buy?").

Recurring revenue by product

Link each subscription to a catalog product to see MRR and churn by product on the Recurring Revenue screen, with the end date of each subscription.

Default term (months)

Recurring products have a "Default term (months)" field: the contract length you usually sell. When the product is added to an opportunity, the line item is already created with that term, copied into the item and editable right there. Changing the term on the item never changes the product, and an item left without a term inherits the opportunity term.

💡 The field only appears on recurring products (monthly, yearly or custom billing period). Leave it empty when you want every deal to use the opportunity term.

Bundles: quantity per item

When the product is a bundle, you pick its items from the products you already have registered instead of typing free text, and each item carries a quantity. So a bundle can be, for example, 4x Mentoring + 1x MentorAI. Use the quantity box beside each item to change it and the ✕ to remove the item.

💡 Bundles created before this, with no quantity, keep working exactly as they are: each item counts as 1.

Data quality

The Data Quality screen covers products: it flags duplicate SKUs and products with incomplete setup (missing price or category).

Engineering fields (manufacturing)

For industrial catalogs, the product has engineering fields: technical specifications, materials, finish, dimensions, tolerances and production lead time (days). They are optional and appear on the product form; fill in only the ones that make sense for your catalog.

Every product has its own image gallery. On the Inventory screen, click Images on the product row to upload photos, reorder them (drag or use the arrows), mark the primary image (the star) and decide, per image, whether it goes into the proposal (Include in proposal). You can also set alt text for accessibility. The first image you upload automatically becomes the primary one.

Technical specifications

Each product also has structured technical specifications. On the Inventory screen, click Specifications on the product row to add rows with a group (e.g., Dimensions, Electrical), an attribute (e.g., Weight), a value and an optional unit (kg, V, mm). Edit any field inline, reorder with the arrows, and decide per line whether it goes into the proposal (In proposal). Nothing shows until you add specifications.

Marketing by product

You can link a product to a lead (Product of interest) and to a campaign (Promoted product). Then the assistant answers demand by product: how many leads are interested, how many open opportunities and their value, how many campaigns promote it and the won revenue per product, so you focus marketing where demand is highest. Ask the assistant "which product has the most demand?".

Support by product

Link a ticket to a product to track support by product: how many tickets each product generates, how many are open, the average satisfaction (CSAT) and the resolution rate. Ask the assistant "which product generates the most support?" or "which product has the worst satisfaction?" to find where to improve.

Compare products

Ask the assistant to compare products ("compare Product A and Product B") and it builds a side-by-side table with price, category, brand and the engineering fields, highlighting what differs. Cost only shows for administrators. To see products as a grid or grouped by category, use the table view and the board (kanban) view of the Products list itself.

Product AI

The assistant generates product text from the product's own data: a commercial or technical description ("write a commercial description of Product X"), a sales battlecard against a competitor ("build a battlecard for Product X against Competitor Y") and a performance summary with the internal numbers ("how is Product X performing?"). The AI relies only on the product fields and numbers, without inventing; usage consumes your AI allowance.

Add-ons, hours packages and multi-year contracts

Each subscription can have add-ons: recurring additional products, hours packages (with an allowance and usage) and multi-year contracts (term in months). On the Recurring Revenue screen, click Add-ons on the subscription row to add them, log hours usage (the remaining balance is computed) and see the total.
