Documents: writing, versioning, sharing and linking to a record
The Documents module holds your team's formatted text (internal proposals, meeting minutes, playbooks, account notes). You write in an editor with bold, lists and links, saving is automatic, every save becomes a version you can restore, and a document can be linked to a record.
Documents is the place for text the team writes together: meeting minutes, an internal proposal, a playbook, notes on an account. It sits in the menu, in the work area, next to Projects. Everyone in your organization with access to the module can see and edit the documents.
Commenting (including on a passage)
Below the editor there is a Comments section where the team discusses the document (with threads, reactions, @ mentions and resolving). To comment on a SPECIFIC point, select the passage in the text and click "✍️ Comment on selection": the comment is anchored to that passage, which is quoted above the message. With nothing selected, the comment belongs to the whole document.
Creating and writing
- Open Documents in the menu and click New document.
- Give it a title and write in the editor. The top bar has bold, italic, underline, heading, lists, quote and link.
- There is no mandatory Save button: the text saves itself as you write. The indicator next to the title reads Saved, Saving or Unsaved changes.
- If you like, organize it in a folder (any name you want, such as Sales) and link the document to a record (a company, a contact, an opportunity).
Version history
- Every time the document is saved, the previous content is stored as a version.
- Click Versions to see the list, with the date and author of each one.
- Click Restore to bring an older version back. The current content is stored in the history first, so nothing is lost.
When two people edit
Several people can edit the same document, but not at the same time with each other's cursor on screen: this is NOT real-time simultaneous editing like Google Docs. If somebody saves a newer version while you were editing yours, you get a conflict warning when you save, along with the option to reload the document, so you do not overwrite someone else's work by accident.
