Executive and corporate education: private cohorts, roster upload and the report HR receives

A company hires your school, you open a private cohort, HR sends a spreadsheet of employees, and later asks how the group is doing. This block does all of that without adding a second CRM inside the CRM: the company is the company record you already have, the deal runs on your standard pipeline, and enrolment goes through the same engine every other student uses. The per-employee line is off by default. Part of the Education vertical, optional, and off until an administrator turns it on.

The Executive and corporate education block sits at the end of the Education screen. It is deliberately thin: almost nothing here is new, because almost everything it needs already existed somewhere in the system.

The company, the deal and the account plan are the ones you already have

You start by linking a company that is already in the CRM. Nothing about that company is re-typed here: name, industry, address and tax number stay on the company record, and this block only holds the link.

The deal is your ordinary opportunity, on the pipeline your team already uses. You open it the usual way and then point the private cohort at it. There is no separate corporate funnel, no second set of stages and no second forecast, because a second pipeline is the fastest way to get two different answers to the question of how much B2B business you have open.

The same applies to people at the client. The HR and L&D contacts, the sponsor and the decision maker all go into the buying committee the CRM already keeps for each company, so committee coverage and the relationship map keep working exactly as before. Account targets and whitespace stay in the account plan where they always lived.

A private cohort is one of your classes, marked

Marking a class as a company's private cohort does not create a class. Term, capacity, campus, waitlist and seat reservation all stay where they are, run by the same rules as any other class. What the marking adds is the commercial side: which company it belongs to, which deal sold it, and how many seats were contracted.

💡 Contracted seats and class capacity are two different facts and the screen never merges them. If the contract says fifteen and the class holds twenty, both numbers are shown side by side and the disagreement is flagged. Silently overwriting one with the other would leave two screens answering the question of how many people fit with two different numbers.

Uploading the roster is safe to repeat

Paste the list HR sent, with one person per line: name, email, employee id, job title, department. Send the same file twice and nothing doubles. Someone repeated inside the file is dropped once, with the reason shown; someone already in your system is matched to their existing record rather than created again; and someone already enrolled keeps the enrolment they had.

  1. Link the company (it must already exist as a company record).
  2. Add the HR or L&D contact, which goes into the company's buying committee.
  3. Mark the class as this company's private cohort and, if you want, point it at the deal.
  4. Paste the roster and enrol the group.
  5. Open the report to see how the cohort is doing.

Removing someone from the company roster later only takes them off that list. Their record and their enrolment stay: deleting a person's academic history because HR edited a spreadsheet would be destroying data, not tidying it.

No signal, no number

Learning progress is read from the study platform through the neutral connector, exactly as it is elsewhere in the Education module. Someone with no signal at all is reported as not measured, with the rate left empty. It is never shown as 0%.

💡 The difference matters more than it looks. A 0% printed next to an employee's name arrives at their employer as an accusation, and nobody measured anything. So participants without a signal are counted separately and left out of the rate, and the report says how many of them there were.

Completion is a different figure and comes from the enrolment, not from the progress bar. Somebody at 95% has not completed the course. And a rate is only published when there is something to divide by: with nobody enrolled, completion reads as not measured rather than as zero.

Does HR see each employee's progress?

The cohort figure is always available. The company paid for the training and has a legitimate interest in knowing how the group is doing.

The per-employee line is a different matter, and it is off by default. It only exists if your institution turns it on for that company, on this screen, and the system records who turned it on and when. Even then, showing it requires permission to administer the system.

And even released, the line is built from an explicit list of allowed fields: name, employee id, job title, department, cost centre, who is sponsoring, enrolment status, progress and whether the course was completed. That is all. Advising notes, early-alert risk, financial standing, documents, health forms, date of birth and identification numbers never leave the institution, in either setting. Because the list is explicit, a column added to the system tomorrow does not start appearing in employer reports by accident.

💡 There is one more protection, and it is the one that closes the loophole. If fewer than three participants have measurable progress, the cohort figure is withheld rather than published, because an average over two people is an individual report wearing a different name. Withheld and not measured are shown as two different states, since they mean opposite things.

Money is declared, not calculated

You can record who receives the invoice: the company, each participant, a mix of the two, or nothing declared, which is the default. That is a statement about the arrangement, not a charge. The CRM does not invoice, and the financial mirror it keeps is per person and does not know which company is paying, so adding those figures into a corporate total would produce a number nobody reconciled. The report says so instead of showing one.

One honest limitation follows from that: there is no consolidated invoice for the company inside the CRM, and there is no corporate balance. Linking each charge to a paying company would require a change to the financial mirror, which this feature deliberately did not touch.
