Higher education: test scores, transcripts and recommendation letters

Record exam scores with the source they came from, read a transcript with extraction that only ever suggests, and ask a teacher or mentor for a recommendation letter through a link. Part of the Education vertical, optional and off until an administrator turns it on.

The higher education block sits at the bottom of the Education screen. Pick an application and you get three things in one place: the candidate's exam scores, the reading of their transcript, and the recommendation letters requested for that application.

A score always says where it came from

Every score you record carries a source: self-reported (the candidate typed it), official (it came from the exam board), or imported from a file. The source is shown on every line and cannot be edited afterwards. If you got it wrong, delete the line and record it again with the right source.

Checking a score is a separate thing. When someone on the team compares a self-reported score against the proof, press Mark as checked. The score becomes usable for a decision, but it stays self-reported: the system never rewrites where a number came from just because a person looked at it.

💡 This is why a self-reported score never closes an admission requirement on its own. It comes back as waiting for proof, together with a note that it would meet the minimum once checked. That is your list of candidates to chase, and it is honest about what you actually have.

Reading a transcript

A transcript is a document like any other: attach it to the application under documents, with the type transcript. The higher education block then offers to read it using the same extraction the rest of the system uses, with the same consent rules for documents about minors.

What comes back is a list of suggestions, each one next to the raw text it was read from, so you can compare against the original before accepting anything. Nothing is recorded until you press Confirm.

💡 A confirmed reading is filed as imported from a file, never as official. The machine read a piece of paper; it did not talk to the exam board. If you later receive the official score, record it separately: the two live side by side on purpose.

Asking someone for a recommendation letter

Fill in the recommender's name and email and press Request the letter. They get a message with a link. Opening it shows them the candidate's name, the programme, the deadline and whatever message you wrote. Nothing else about the application is on that page, and the link only ever opens that one request.

They write the letter and submit it, or decline. No password, no account, nothing to install. You can copy the link to send it another way, send a reminder, or cancel the request, and cancelling stops the link working immediately.

Confidential letters

Letters are confidential by default, as they are across the sector: the candidate can see in their portal that the letter arrived, but never reads it. That is what lets a teacher write frankly.

If your institution decided to open letters to candidates, untick Confidential when you make the request. Then the candidate reads the text in their portal once it has been submitted. You can change your mind while the letter has not arrived yet, never after.

Transfer and continuing education

These are not separate modules: they are admission pipelines you can seed from the wizard at the top of the Education screen. Transfer has the two stages that decide whether a transfer candidate stays or gives up, transcript evaluation and credit equivalency, right there on the board. Continuing education is a short, rolling funnel with advising, registration and payment.
