Multichannel prospecting · flow campaigns, channels and stop on reply

A flow campaign is the multichannel journey in Sellio: a tree of steps with actions, waits and conditions, run per contact across email, WhatsApp, SMS, tasks and webhooks. A reply from the contact pauses the follow-ups on its own. Use it when the journey spans several channels and branches; for email only use Sequences, and for human tasks only use Activity cadences.

Prospecting in Sellio is built on the flow engine: a campaign is a tree of steps that combines actions, conditions and waits, and the engine runs it for every enrolled contact. The engine knows nothing about channels: it simply asks that the action be carried out on the chosen channel, and each channel knows how to speak. In practice that means adding a channel does not change the journey you already designed, and an optional channel that is missing does not take the rest down.

When to use this one and when to use another

  • Use a flow campaign when the journey has more than one channel, waits and branches of the replied or did not reply kind.
  • Use Email sequences when it is email only to a list, with no branching. See the article on email sequences.
  • Use Activity cadences when the goal is to create tasks for a person to carry out, rather than automated messages. See the article on activity cadences.

Available channels

  • Email: honors unsubscribes, communication categories and contact consent, personalizes with variables and uses the alternative body when a value is missing.
  • WhatsApp and SMS: through the provider you connected. With no credentials, the step is simply skipped and the flow moves on.
  • Task: creates a task, call, meeting or note on the record timeline, for someone on the team to handle in the middle of the journey.
  • Webhook: sends the step event to a URL you provide, to trigger an external system.
💡 When a channel is not configured, the step is recorded as skipped, which is not an error, and the contact moves on to the next step. Nothing stalls the cadence.

Automatic pause on reply

When the contact replies by email, WhatsApp or SMS, their follow-ups stop on their own: the enrollment moves to the Replied status and the engine stops advancing it. That is the difference between a cadence that helps and one that embarrasses you, because nobody should keep being chased after they have already talked to you.

  • The stop is global per contact: one reply pauses all of their prospecting campaigns and cadences at once.
  • Automations do not stop on reply, because they are not outreach: only prospecting campaigns and cadences stop.
  • You resume the contact manually whenever it makes sense.
  • Winning, losing or converting the record also takes it out of the cadence automatically.
Example: The campaign Manufacturing prospecting has 5 steps over 12 days. On step 2, Ricardo replies to the email asking for a quote. His enrollment turns to Replied immediately, the 3 remaining steps never go out, and the rep picks up the conversation from that reply.

Leads in the cadence

  1. Open Marketing and go into the flow campaign.
  2. Scroll to Leads in the cadence: each enrollment shows the contact, the status, the current step and the last action.
  3. Use the status filters, among Active, Paused, Replied, Completed, Exited and Error, to focus on what matters.
  4. Pause or resume a contact with the buttons on the row. Those actions appear for people who can manage settings.

Importing from the CRM into the campaign

You queue contacts into the campaign from a list, from a dynamic segment or from a filter straight on the object, for example every lead at the MQL stage. Whatever the source, anyone already enrolled is not enrolled again: deduplication is automatic, so reprocessing the same source never creates duplicate enrollments.

💡 Because Sellio already is your CRM, there is no export to the CRM: the pipeline is the destination. The record stays the same record, with the prospecting journey written into its timeline.

Common questions

  • How do I create the campaign and follow the metrics? The step by step wizard and the monitoring panel are covered in the marketing campaigns article.
  • Can I edit the campaign after launching it? Yes. Changes apply to future sends; it is worth pausing while you make large edits.
  • Can a contact be in two campaigns? They can, but on the exclusions step you can choose to leave out anyone already in an active campaign, so you do not bombard the same person.
