Proposals and quotes: generate, approve, send and track

Generate proposals from the opportunity items, control versions, approve discounts, send by email and track the customer's opens and acceptance.

Every opportunity has a "Proposals" block on its page. The proposal is generated from the opportunity's PRODUCT ITEMS. Enter the items first (product, quantity and price) and click "Generate proposal".

💡 You can organize the proposal items into sections and set a delivery time and payment terms per item. Just fill in these fields in the opportunity's item editor (the Section, Delivery time and Payment terms columns); when you generate the proposal they are frozen and appear grouped by section, with a subtotal per section and the delivery time and payment shown under each item. Proposals without sections keep the usual flat list.

How the cycle works

  1. Add the product items to the opportunity ("Items" block).
  2. Click "Generate proposal" and enter validity, discount (%) and terms/notes.
  3. If the discount exceeds the company's limit, the proposal starts as "Awaiting approval", and a manager must approve before sending.
  4. Send by email ("Send" button): the customer receives a public link to the proposal.
  5. Track it in the "Tracking" column: who it was sent to, how many times the customer opened it and the response (acceptance/rejection).

Versions (version control)

Each "Generate proposal" creates a NEW VERSION (v1, v2, v3…) with a snapshot of the items at that moment. Changing the opportunity items later does not alter proposals already generated. Negotiate with confidence: v2 does not erase v1, and the history is kept.

Unsent versions (draft, awaiting approval or approved) can be deleted. Sent, accepted or rejected versions stay forever, since they are the record of the negotiation.

Edit the proposal (sections, order, cover and terms)

On an editable version (draft, awaiting approval or approved) click "Edit" on the proposal row to open the snapshot editor. Editing a generated version never changes the opportunity items or other versions: each proposal keeps its own frozen snapshot.

  1. Reorder items with the up/down arrows; the order is kept in the PDF and on the public page.
  2. Edit an item inline (name, quantity, price) and set its section (e.g. Technical, Commercial) to group it.
  3. Add or remove items directly on the proposal, without touching the opportunity.
  4. Write the cover (intro) and the terms for this specific proposal; left blank, they inherit from the proposal template.
💡 Cost and margin are never shown to the customer: the editor and the public proposal only handle prices.

Discount approval

Under Settings → Organization you set the maximum discount without approval (default: 20%). Above that, only users with access to settings (e.g., Admin, Sales Manager) can approve, and the "Approve" button appears on the proposal's own row.

Example: Limit 20%: a proposal with 15% discount can be sent directly; with 25%, it locks in "Awaiting approval" until a manager approves. If the rep edits the discount to 18%, it returns to a draft, cleared for sending.

The public page (what the customer sees)

  • The public link (/proposta/…) shows the items, subtotal, discount, total, validity and terms, with no login needed.
  • Each customer open counts as a view (tracking): you see "N view(s)" in the tracking.
  • The customer can ACCEPT (entering their name, which is recorded as electronic acceptance) or REJECT (with an optional reason).
  • On the response, the opportunity owner receives a notification immediately.
  • A proposal past its validity no longer accepts a response, so generate a new version.
💡 Want to review before sending? Use "Open": the rep's preview does not count as a customer view (tracking only starts after sending).
💡 Need a PDF? Click "Download PDF" on the proposal row to get a branded PDF (your logo, accent color, terms and, when enabled, a signature block) with the items grouped by section and the totals. The customer can also download it from the public page. The PDF only shows prices, never internal cost or margin.
💡 Sending uses Sellio's transactional email (Resend). Without the key configured (RESEND_API_KEY), sending fails with a warning, so copy the public link and send it through your preferred channel.
💡 Electronic acceptance does not replace a legally binding digital signature (DocuSign, etc.); that integration is on the roadmap.

Proposal templates (appearance)

Under Settings → Proposal templates you fully customize the look: upload your logo, pick the accent color, write a cover text and your own footer, turn on the signature block and set the default terms. The live preview shows the result as you type, and the Download PDF button generates a sample with those settings.
