Activity cadences · the rep follow-up rhythm
An activity cadence automatically creates a timed series of tasks, calls and meetings for a record, assigned to an owner. Use it when the work is human: the one who has to act is the rep, not the server. To send emails automatically use Email sequences; for a multichannel journey with conditions use Flow campaigns.
An activity cadence answers a simple question: how many times, and at what intervals, does someone on the team need to touch this contact? It sends nothing on its own. It creates the ACTIVITIES on schedule, assigned to a person, so the work shows up on the task list of whoever has to do it.
When to use this one and when to use another
- Use an activity cadence when the touch is human: calling, recording a video, writing a message by hand, visiting. The system organizes the rhythm, the person carries it out.
- Use Email sequences when the content is the same and the send can be automatic, to a list of recipients. See the article on email sequences.

Building the cadence
- Open Settings, Activity cadences.
- Click to create a cadence and give it a name.
- Add the steps. Each step has a delay in days, a type (call, email, meeting, task or note) and a subject.
- Leave the cadence marked active and save.
A cadence takes 1 to 20 steps, and each step delay runs from 0 to 365 days, counted from enrollment. Creating, editing and deleting cadences requires permission to manage settings.
Enrolling a record
On the detail of a record, whether a lead, a contact, an opportunity or another object, pick the cadence under Enroll in cadence. The system starts creating each activity on schedule, assigned to the owner you name, or to the record owner when you name nobody.
- Enrollment is idempotent: if the record already has an active enrollment in the same cadence, it is not enrolled again, so clicking twice does not duplicate the tasks.
- Each step becomes an ordinary CRM activity: it shows up on the calendar, on the task list and on the record timeline.
- Deleting a cadence does not delete the activities it already created: they are still somebody work.
Visual editor
Besides the linear list of steps, you can build cadences in the visual editor. In Settings, Activity cadences, use the visual cadence option to draw the flow as a tree, with activities, waits, conditions such as replied or opened the email, and yes and no branches. Classic cadences stay listed and editable right below, and nothing is converted automatically.
Common questions
- Can I enroll several records at once? Enrollment happens on the record. To enroll a whole audience at once, use a flow campaign or an email sequence.
- Does the cadence stop on its own when the customer replies? Automatic stop on reply belongs to flow campaigns and prospecting cadences. In an activity cadence, the rep decides when to stop, by marking the remaining tasks as completed or canceled.
- Does deactivating a cadence affect people already enrolled? The activities already created stay. Deactivating prevents new enrollments.
- Who receives the activities? The owner you name at enrollment. With no one named, the record owner, so changing the record owner before enrolling changes who gets the work.
- Can a record be in more than one active cadence? Yes, as long as they are different cadences. The same cadence is not applied twice to the same record while the enrollment is active.
- How do I follow the progress? Through Activities themselves and through the record timeline, where each step shows up as a dated task.
