Automatic lead re-engagement and nurturing
Two independent automations look after a lead going cold: re-engagement creates a task for the owner when a lead sits idle past the deadline you set, and nurturing automatically enrolls every lead that enters the Nurturing status into an email sequence. Both start off and you turn each one on in a different place.
A forgotten lead is revenue lost quietly. The CRM attacks that from two directions that never mix: one creates work for the rep (a task to reconnect) and the other keeps the lead warm on its own (an email sequence). You can use both, one, or neither.
Re-engagement: a task for the stalled lead
- Open Settings and go to Organization.
- Look for the Stalled-lead re-engagement (days) field.
- Enter how many days with no activity at all a lead may sit before it generates the task. It accepts 0 to 3650 days.
- Save. A value of 0 turns re-engagement off.
From then on, a daily sweep goes through active leads that have an owner and looks at the date of the last recorded activity. If there is no activity at all, it uses the lead creation date. Past the deadline, the CRM creates a task called Re-engage followed by the lead name, due the next day, assigned to the lead owner.
- Converted and disqualified leads are left out of the sweep.
- A lead with no owner generates no task, because there would be nobody to assign it to.
- There is no duplication: if an open re-engagement task already exists for that lead, no other one is created.
- The task wording, the due date and the assignee are fixed. The only setting is the number of days.
Nurturing: an automatic sequence on the Nurturing status
- Open Marketing and go to Sequences.
- Create or edit the email sequence that will nurture these leads and build the steps with their day intervals.
- Check Auto-enroll leads in Nurturing into this sequence.
- Leave the sequence active and save.
With that in place, every lead that has an email address and whose status starts with Nurturing is automatically enrolled in that sequence, at the first step, honoring the day intervals you configured. Anyone already enrolled is not enrolled again.
Automatic exit from the sequence
The CRM closes the enrollment on its own when the record is converted, won, lost, disqualified or deleted. That avoids the worst mistake in nurturing, which is to keep sending nurture email to someone who has already bought or already said no. You do not have to do anything: the enrollment simply stops advancing.
Ready-made templates
- In Settings, Automations, the Journey templates gallery offers templates in the Nurture and Re-engagement categories. Installing a template creates a real automation, which you then edit like any other. Nothing runs until you install it.
- When you create a campaign from a template, there is a Re-engagement template: it sends an email, waits a few days, and separates the people who opened (which becomes a task) from the people who did not (who get a second email).
Permissions and common questions
- Changing the re-engagement deadline and checking auto-enrollment both require permission to manage settings.
- Both automations run on a periodic sweep, not at the exact instant the deadline passes. Wait for the daily cycle.
- I turned re-engagement off and the tasks are still there. Yes. Turning it off prevents new tasks, it does not delete the ones already created; complete or delete the pending ones.
- Can I use more than one nurture sequence? Auto-enrollment applies to every sequence you check, so it is better to keep only one checked and avoid enrolling the same lead on several fronts.
