Email in each recipient language, and translating with AI
The CRM sends email in the language of each person, not the language of whoever pressed send. In campaigns, sequences and flows you write the content in one primary language, add variants in the other ten system languages, and can translate them all in one click with artificial intelligence.
A customer who gets an email in a language that is not theirs simply does not read it. Instead of keeping separate lists per country, the CRM resolves the language at send time, person by person, and lets you keep every version of the same text inside the same campaign.
How the language is chosen
For marketing sends, the CRM looks first at the language recorded on the contact itself. If there is none, it uses the language of the system user linked to that record. If neither exists, it uses English.
For service messages, such as a ticket satisfaction survey, an invoice, a quote or a form confirmation, the search goes one step further: contact language, user language and, if both are blank, the default language of your organization, with English as the last resort. You configure nothing for this to work.
Ten languages are supported: Brazilian Portuguese, European Portuguese, English, Spanish, French, German, Italian, Chinese, Japanese and Hindi.
Writing in several languages
- In the email composer of the campaign, the sequence or the flow email step, check Send in each contact language.
- Choose the Primary language (fallback) and write the subject and the body in it.
- Fill in the variants for the other languages on their tabs. Anyone with no variant in their language gets the primary language.
Translating with AI
- Write the subject and the body in the primary language.
- Click Translate to all languages.
- Watch the progress, which shows how many languages are done out of the total.
- Review the variants before you send. Translation is a starting point, not an editorial review.
- Translation preserves the personalization variables in double braces, the links and the line breaks of the original text.
- If artificial intelligence is unavailable or the monthly spend cap has been reached, translation stops right there and tells you, instead of silently returning half a text.
- Transient network failures are retried automatically a few times before giving up.
Sender and cost
- The sender lives in the same Email options (sender and category) block of the campaign wizard. If you have verified your own domain, you pick a verified sender; without your own domain, the message goes out from the platform sender.
- Translation uses the platform artificial intelligence and the usage is metered like any other AI usage. If you connected your own AI key, translation runs on it and the platform does not charge you for it.
- Each language is translated in a separate call, so translating into ten languages costs more than translating into two. Only fill in the languages your audience actually speaks.
Common questions
- Where is the contact language stored? It is a field on the contact or lead record. Without it, the CRM has no way to know the person language and falls back to the primary language or to English.
- Can I turn this off and send everything in one language? Yes. Uncheck Send in each contact language and everyone gets the primary content.
- Does translating overwrite what I already wrote in the variants? It fills in the variants of the target languages, so review before translating again if you have hand tuned any text.
- Does the email go out tagged with the right language? Yes. The language declared in the message matches the text that was actually chosen.
