Marketing asset library (images, PDFs, links)
The library keeps in one place the images, PDFs, videos, documents and links you use in emails, landing pages and proposals, organized in folders and tags. You upload the file, the CRM stores it safely and hands you back a URL ready to paste anywhere.
The right logo, the current sales deck and the campaign banner usually live scattered across old emails and personal laptops. The asset library exists to end that: every file sits in one place, with a name, a folder and tags, and gets an address any email or page can use.
Where it lives
- Open Marketing in the menu.
- Click More.
- Choose the Assets card, described as the image and file library.
Adding assets
- Upload file: pick a file from your computer and actually upload it to the CRM storage. The limit is 50 MB per file; above that the screen says File is too large (max 50 MB) and nothing is uploaded.
- Add link: registers the address of a file already hosted somewhere else, with a name and tags. It takes up no storage.
The asset type is detected automatically from the uploaded file and shows up as Image, PDF, Video, Doc, Link or File. You do not have to pick the type by hand.
Organizing and finding
- Folders: the left column holds All assets, No folder and the folders you create with New folder. Click a folder to filter. A folder name takes up to 120 characters.
- Tags: each asset takes up to 20 tags, of up to 60 characters each, entered comma separated.
- Search: the Search assets field filters by asset name.
- Every asset has Copy URL, Open, Edit and Delete buttons.
Limits and permissions
- A 50 MB limit per uploaded file. There is no cap on how many assets you keep, but the list shows up to 500 at a time.
- Any user in the organization can browse the library and copy URLs.
- Uploading, editing and deleting assets, and working with folders, requires a role with write permission. Someone on a read only role sees the library but gets a warning when they try to change anything.
- Adding and deleting assets is recorded in the audit trail of the organization.
- The library honors per organization isolation: you only ever see the assets of your own organization.
Common questions
- If I delete a folder, do I lose the files? No. When you delete one, the screen warns that the assets stay in the library, without a folder. They show up under No folder.
- Does an asset URL last forever? The URL of an uploaded file is signed and valid for one hour, so it is meant for copying and using right away. For a fixed public address, register the file with Add link pointing to wherever it is permanently hosted.
- Can I undo deleting an asset? No. Deleting removes the asset from the library; upload it again if you need it.
- Why can I not upload? Either the file is over 50 MB, or your role is read only.
