Inventory: stock balance, reorder point and product movements
Track how much you have of each product, set a reorder point to be warned when stock runs low, and record receipts, issues and adjustments. The balance is always computed from the movement history, so it never drifts out of sync.
Inventory tracks how many units you have of each product in your catalog. It does not create a new product record: it uses the products you already have under Products and keeps, for each one, the current balance and a history of movements.
See your stock
- Open Inventory in the Products menu.
- The table lists each product with its on-hand balance, reorder point and status: In stock, Low or Out of stock.
- Use the Low stock tab to see only the products that need replenishing.
Record a movement
- Click Move stock on the product row.
- Choose Receipt (a purchase or delivery), Issue (a sale or consumption) or Adjustment (a stocktake correction).
- Enter the quantity and a reason, then confirm. The balance updates right away.
- An issue never drives stock negative: if there is not enough on hand, the operation is rejected.
Reorder point and alert
- Type the reorder point straight into the table, in its column.
- When the balance reaches that point, admins get an automatic notification.
- Use 0 to turn the alert off for a product.
Reserved and available
Beyond On hand, the table shows Reserved and Available. Available = On hand − Reserved. Reserved is what is committed to open opportunities, so you do not sell the same unit twice.
Stock automation (optional)
At the top of the Inventory screen, an administrator can turn on two automations (both off by default):
- Reserve stock on open deals: when a product is added to an open opportunity, its quantity becomes Reserved and lowers Available, without moving the balance. If the deal is lost, the reservation is released.
- Deduct stock when a deal is won: when the opportunity is won, the reserved (or line-item) quantities become an automatic stock-out, recorded in the history.
Suppliers and cost per supplier
For each product you can register one or more suppliers, each with its own cost, supplier SKU and lead time. Open Suppliers on the product row in Inventory.
Mark one supplier as Preferred to use it by default when buying. The panel also shows the lowest, average and last cost across your suppliers, so you always buy from the best source.
