Product variants
Product variant is the object where you register the options of a single product, such as size, color, plan or material, each with its own SKU and an adjustment over the base price. It keeps the catalog tidy without forcing you to duplicate the product for every option.
Registering T-shirt S, T-shirt M and T-shirt L as three separate products clutters the catalog, breaks reporting by product and makes you repeat the description, the cost and the category three times over. Variants exist so you can keep a single base product and hang the options off it.
Where it lives
Under the Products menu, item Product variants. The default view is the table, with the columns Variant, Product, SKU, Price adjustment and Active; the board groups by Product, which is handy for seeing a whole grid at once.
Fields
- Variant: required. The name of the option, such as Size L or Pro plan.
- Product: required. The base product for this variant, picked from the product list.
- SKU: the code specific to the variant.
- Option type: Size, Color, Plan, Material or Other. It is the dimension the option varies along.
- Price adjustment: the amount added to or subtracted from the product's base price. Negative values are allowed.
- Active: whether the variant is available. Uncheck it instead of deleting when an option is discontinued.
How to register one
- Register the base product first, at the full price, under Products.
- Open Product variants and click New.
- Give the option a name under Variant and pick the base Product.
- Enter the option's SKU and pick the Option type.
- Fill in the Price adjustment with the difference from the base price, positive or negative, and leave Active checked.
- Repeat for each option. To review the grid, open the board grouped by Product.
What a variant does and what it does not do
This part matters so there are no surprises when you close the deal. A variant is a catalog record: it organizes the options, stores the SKU and documents the price difference.
- The Price adjustment is not applied automatically on quotes, proposals, orders or opportunity items. When you build the quote, you add the base product and enter the final line price, taking the chosen variant's adjustment into account.
- A variant does not carry stock of its own. The balance belongs to the product, in the Inventory module.
- A variant is not the guided configurator. If you need combination rules, an SKU matrix and real-time validation, use the product structure and configuration panel, enabled by an administrator.
Common questions
- I entered a negative adjustment larger than the base price. Does the price go negative? Charging a negative price makes no sense: treat zero as the floor and revisit the base price, because a discount bigger than the price points to a data entry mistake.
- Why did the quote price not change when I picked the variant? Because the adjustment is informational. Type the line price on the quote.
- Can I have more than one dimension, such as color and size together? Each record is one option. For a combination of two dimensions, register one variant per combination, with its own SKU, or use the product configuration panel, which works with a matrix.
- I deleted a variant that was in use. Does it disappear from old quotes? The quote stores what was sold, so the history does not change. Even so, prefer unchecking Active to deleting.
