Timesheet (time tracking)

Log hours on your board items with a live timer or manual entry, submit the week for approval, and follow reports on hours and billable value.

The Timesheet lives inside Projects and measures the time each person spends on board items. Everyone logs their OWN hours; board owners and editors see the whole team. This is your operation with YOUR clients: billable hours and value (hours x rate) are yours and can be shown normally.

Two ways to log

  • Live timer: on the board, a "Time tracking" column shows the item total and a play/stop button. Click play to start and stop to finish; on stop the CRM creates an entry with the measured duration. Only one timer runs per person.
  • Manual entry: open the item and use the Time tracking panel to log date, duration (h:mm or decimal hours like 1.5), description and whether it is billable.

Weekly and daily grid

  1. Open Projects → Timesheet. In the "My grid" tab, rows are the items worked and columns are the days of the week.
  2. Type hours right into the cell (e.g. 1:30). Daily, per-row and weekly totals are computed automatically. Switch between Week and Day views and navigate across weeks.
  3. To add an item that is not there yet, use "Add row", pick the board and the item.

Submit and approval

When the week is ready, click "Submit week". The sheet goes from Draft to Submitted. People who manage the boards you worked on see it in the "Approvals" tab and can approve or reject with a comment. An approved sheet is locked for editing; a rejected one becomes editable again so you can fix and resubmit. The approver can reopen an approved sheet when needed.

Billable, rate and value

Mark each entry as billable or not. The hourly rate follows this precedence (most specific wins): the value stored on the entry itself, then the person's rate on that board, then the board's default rate, and finally the tenant's default rate. Billable value is hours x rate, rounded to the cent, in US dollars (USD). Set rates in the "Settings" tab.

Reports and budget

  • The "Reports" tab summarizes a period by person, by board, by item and billable vs non-billable, with the total value. Export everything to CSV.
  • In "Settings" you set a budget of hours and/or value per board; the report shows the percentage consumed and warns in red when the board goes over budget.

Preferences (admins)

  • Hours rounding (none, 6, 15 or 30 minutes), in the style of the leading tools.
  • Week start (Monday or Sunday) and required description on entries.
  • Weekly reminder: anyone who does not submit the week gets a bell notification (must be turned on).
💡 While a timer is running, a bar at the top of the board shows the item and the elapsed time, with a shortcut to stop it and to open the Timesheet.

Invoice hours

In the "Invoice" tab, you turn the already approved billable hours of a board for a period into a customer invoice, without retyping anything. Pick the board and the period: the system shows the preview (rows grouped by service, with hours and value) and the total. When you click "Generate invoice", the hours become an invoice in the Invoicing module. Generation is idempotent: an hour already invoiced is never charged twice.

Whoever has the cost permission (timesheet_cost) also sees the REAL MARGIN for the period at the top: billable, labor cost, margin and margin %. Whoever does not have this permission sees only the billable amount, never the cost.

Hour bank (retainer)

In the "Hour bank" tab, you manage prepaid hour packages per customer (retainer). Each bank shows the balance, the percentage consumed and a depletion alert (yellow from 70% on, red when it goes over). Open a bank to see the ledger of movements (credits, consumption and adjustments) and use the shortcuts to credit or consume hours manually. Only managers can see the hour banks.
